RETURNS & REFUNDS POLICY

At Propane Tank Distributors, we are committed to providing reliable, high-quality propane storage solutions. This Returns & Refunds Policy specifies the standard conditions, windows, and procedures for return requests and equipment returns for our customers nationwide.

1. RETURN WINDOW

Customers have 30 days from the date of equipment delivery to initiate a return request. Requests made after this 30-day period will not be eligible for return or refund.

2. ELIGIBILITY FOR RETURN

To be eligible for a return, the propane tank or equipment must be in its original, unused condition, including all factory seals, fittings, and documentation. Any tank that has been installed, filled with propane, or modified in any way is not eligible for return.

3. RETURN AUTHORIZATION

All returns must be pre-authorized by our customer service team. Before shipping any equipment back, you must obtain a Return Merchandise Authorization (RMA) number. Unauthorized returns will be refused at the delivery site and returned to the sender at their expense.

4. DAMAGE UPON DELIVERY

It is the customer's responsibility to inspect all equipment immediately upon delivery. If visible damage is present, it must be noted on the carrier's Bill of Lading (BOL) before the driver departs. Failure to document damage at the time of delivery may result in the denial of a return or refund claim.

5. CONCEALED DAMAGE

Concealed damage discovered after the carrier has left must be reported to Propane Tank Distributors within 48 hours of delivery. Beyond 48 hours, damage claims will be subject to the individual manufacturer's warranty policies rather than this return policy.

6. INCORRECT EQUIPMENT RECEIVED

If you receive equipment that differs from the product description on your confirmed order, Propane Tank Distributors will coordinate the return and replacement at no additional freight cost to the customer, provided the error is reported within 5 business days.

7. CUSTOMER ERROR

If a return is requested due to customer error (e.g., ordering the wrong capacity or configuration), the return may still be eligible within the 30-day window, but the customer will be responsible for all original and return freight charges.

8. INSPECTION AND VERIFICATION

Upon receipt of the returned propane tank or equipment at our distribution center, our quality control team will perform a comprehensive inspection. This process involves verifying the unit's mechanical integrity, structural condition, and the presence of all original certification plates and safety documentation. We will notify you via email once this inspection is complete.

9. ELIGIBILITY FOR REFUND

Refunds are granted for equipment that passes inspection in its original, uninstalled condition. Any evidence of gas connection, vacuum seal breakage on new units without prior authorization, or damage during return transit due to improper securing may result in a partial refund or rejection of the return request.

10. REFUND METHOD

Approved refunds will be processed and automatically applied to your original method of payment. For commercial accounts settled via wire transfer or check, a business check will be issued to the billing address on file within our standard accounts payable cycle.

11. PROCESSING TIMELINE

While we initiate refunds immediately upon approval, the time required for funds to appear in your account typically ranges from 3 to 7 business days. This duration is subject to the internal processing times and policies of your banking institution or credit card issuer.

12. PARTIAL REFUNDS

Partial refunds may be issued at our discretion for items returned more than 30 days after delivery, items not in their original condition, or equipment with missing components that were clearly included in the original sale. Customers will be provided with a detailed explanation if a partial refund is applied.

13. NOTIFICATION

A final confirmation email will be sent to the address associated with your order once the refund has been successfully transmitted to our payment gateway. This receipt serves as your official record of the transaction reversal.

14. DISPUTE RESOLUTION

In the event of a disagreement regarding refund eligibility or inspection findings, please contact our support team. We value our professional relationships and aim to resolve all equipment return disputes through clear communication and adherence to these documented policies.

15. Freight Responsibility for Returns

Customers are responsible for all outbound and inbound freight costs for any returned equipment unless the return is explicitly due to a documented fulfillment error by Propane Tank Distributors. Original shipping fees are non-refundable.

16. Carrier Damage and Claims

Upon discovery of damage during shipping, the customer must note specific damages on the Bill of Lading (BOL). Once the BOL is signed without exceptions, any latent damage discovered later is the responsibility of the customer to claim with the carrier.

17. Liftgate and Special Handling

Returned items must be positioned in a location accessible by standard freight carriers. Residential liftgate service or inside delivery requirements for pickups must be disclosed during the return request process.

18. Anode Bags and Installed Parts

Magnesium anode bags, custom fittings, or regulators that have been removed from their original vacuum-sealed packaging or installed on a vessel are considered used and are strictly non-returnable.

19. Crating and Protective Packaging

Equipment must be returned in its original industrial crating. If original packaging is unavailable, equivalent safety-standard crating must be used. Damage resulting from improper re-packaging will be deducted from the final refund amount.

20. Safety and Purging Requirements

SAFETY NOTICE: All propane vessels must be completely purged of any residual gas or internal pressure before being released to a carrier. Shipments containing hazardous residue will be rejected and may involve legal penalties.

21. Ongoing Liaison and Support
